  • How to Prepare Your Data for an Odoo ERP Migration
Business team preparing and validating data for an Odoo ERP migration

ERP migration problems rarely start in the ERP. They usually start in source data: duplicate customers, inconsistent product codes, missing tax fields, outdated suppliers, unclear opening balances, and spreadsheet columns that mean different things to different teams.

If your business is moving to Odoo, data preparation should begin before configuration is finished. A clean migration gives users confidence in the new system, makes reconciliation faster, and reduces the risk of carrying years of legacy errors into production.

This guide complements Vectra Technologies’ Odoo ERP implementation services in the UAE and our broader Odoo implementation checklist.

Planning an Odoo migration in the UAE or UK? Use the dataset owners, external-ID mapping and reconciliation controls in this guide regardless of location. For UK projects, also review our Odoo implementation and migration UK service overview for country-specific delivery and localisation considerations.

1. Decide what data actually needs to move

Do not assume that every historical record belongs in the new database. Start by separating data into three groups:

  • Operational master data: customers, suppliers, products, services, units of measure, price lists, payment terms, warehouses and users.
  • Opening operational balances: open receivables, open payables, inventory quantities and values, bank or cash opening positions, and other agreed opening balances.
  • Historical records: old quotations, closed orders, paid invoices, inactive customers and archived transactions.

The business should decide which history must remain directly available in Odoo and which history can stay in a controlled legacy archive. Migrating unnecessary history adds mapping, testing and reconciliation effort without necessarily improving operations.

2. Assign an owner to every dataset

A migration file should never be “owned by IT” alone. Each dataset needs a business owner who understands what the fields mean and can approve the final result.

DatasetTypical business ownerKey validation
CustomersSales / FinanceLegal name, contact details, payment terms, credit settings
SuppliersProcurement / FinanceSupplier status, bank details, tax data, payment terms
ProductsOperations / InventorySKU, category, unit of measure, costing, taxes
Opening AR/APFinanceDocument number, date, due date, currency, open amount
InventoryWarehouse / FinanceQuantity, location, lot/serial data, valuation

The technical team can transform files, but only the business owner can confirm that the transformed data is commercially and financially correct.

3. Clean duplicates before mapping fields

Duplicate data becomes more expensive after migration because it affects CRM history, customer statements, supplier reporting, inventory analysis and automated workflows.

Before creating import templates, identify duplicates using stable identifiers where possible. Examples include customer account number, supplier code, SKU, email address, VAT/TRN data where applicable, or a legacy system key. Do not rely only on names: “ABC Trading LLC” and “ABC Trading L.L.C.” may be the same entity, while two records with the same short name may be completely different companies.

4. Standardize codes, dates, currencies and naming conventions

Agree common formats before import. That includes:

  • customer and supplier naming conventions;
  • product SKU structure;
  • country and emirate naming;
  • phone-number formats;
  • currency codes;
  • date formats;
  • units of measure;
  • payment terms;
  • tax mappings; and
  • analytic or cost-centre structures.

This is especially important when data comes from several entities, branches or applications. A single Odoo field should not receive five different interpretations of the same concept.

5. Design the Odoo mapping before changing source files

Create a mapping workbook with at least four columns: source field, target Odoo field, transformation rule, validation rule. Add a fifth column for the business owner where the mapping is sensitive.

Odoo’s current documentation states that data can be imported into business objects using Excel or CSV files and recommends testing the import before execution. It also notes that imports are permanent, which is why controlled templates and test databases matter. For related records, Odoo supports names, database IDs and external IDs; external IDs are particularly useful when preserving relationships from another application. See the official Odoo 19 import/export documentation.

6. Use external IDs for reliable relationships where appropriate

Many migration errors are not missing records; they are records linked to the wrong parent. Products may point to the wrong category, contacts to the wrong company, or order lines to the wrong reference.

External IDs help maintain stable references between imported objects. They are especially useful when importing interconnected datasets from another ERP or when the same names appear more than once. The important point is consistency: once an identifier is used to update an existing record, changing or dropping it can cause duplicates instead of updates.

7. Import in dependency order

Relational data should be migrated in a sequence that respects dependencies. A typical order might be:

  1. companies and basic configuration;
  2. countries, currencies, taxes and reference structures;
  3. customers and suppliers;
  4. product categories and products;
  5. warehouses and locations;
  6. analytic dimensions or projects;
  7. opening receivables and payables;
  8. inventory opening balances; and
  9. other operational transactions required for cutover.

The exact sequence depends on scope, but the principle is simple: import the parent records before records that depend on them.

8. Test smaller batches before full-volume migration

Do not make the first test a full database load. Start with a small representative sample that includes normal cases and difficult cases: multiple currencies, duplicate-like names, unusual tax treatments, inactive records, negative quantities where valid, and long descriptions.

Odoo also recommends processing very large imports in smaller batches when file size or record size creates timeout risk. Testing smaller batches makes errors easier to isolate and correct.

9. Reconcile every migrated balance

A technically successful import is not a financially successful migration. Build a reconciliation pack before go-live. At minimum, compare source and target for:

  • record counts by major dataset;
  • accounts receivable by customer and total;
  • accounts payable by supplier and total;
  • inventory quantity by product and location;
  • inventory valuation where applicable;
  • opening trial balance or agreed finance balances; and
  • currency totals for open transactions.

Differences should be explained, not simply accepted because the total is “close.”

What data should manufacturers clean before migrating to Odoo?

Manufacturing migrations need additional master-data preparation because production, inventory and costing depend on tightly connected records. Before importing into Odoo, manufacturers should review the following data together rather than as isolated spreadsheets:

Manufacturing datasetWhat to clean and validate
Products and SKUsDuplicate codes, product type, units of measure, categories, costing and traceability settings
Bills of materialsComponent codes, quantities, units, versions, subassemblies, by-products and obsolete BoMs
Operations and work centresRouting sequence, work-centre ownership, realistic processing times and inactive resources
Warehouses and locationsLocation hierarchy, stock ownership, obsolete locations and opening quantities
Lots and serial numbersDuplicate identifiers, expiry information, traceability links and current stock status
Supplier dataVendor-product references, lead times, purchase units, minimum quantities and inactive suppliers
Open productionDecide which manufacturing orders, reservations and work-in-progress genuinely need to cross the cutover

The most important control is relationship integrity: every BoM component must point to the correct product, routing operations must reference valid work centres, and opening inventory must reconcile to the quantities and valuation approved for go-live. A clean product list with broken BoMs is not a clean manufacturing migration.

10. Prepare UAE-specific master data carefully

For UAE implementations, validate the legal entity names, billing addresses, tax registration information where applicable, invoice-related fields, customer and supplier country data, and tax mappings before migration. If the business is also preparing for UAE e-invoicing, structured master data becomes even more important because downstream invoice exchange depends on clean, consistent fields.

For that workstream, see Vectra’s UAE e-invoicing readiness and ERP integration guidance. Regulatory treatment should always be confirmed against current official UAE guidance and the company’s tax advisers.

11. Freeze, cut over and reconcile again

Define a clear data-freeze point. The team needs to know when legacy transactions stop, when the final extract is taken, who approves the transformed files, and who verifies the production load.

After the final migration, repeat the reconciliation using the approved cutover files. Then test real business flows before users begin normal production entry.

12. Keep an audit trail of every migration decision

Retain the source extract, cleaned file, mapping workbook, import template, exception log, reconciliation result and approval. This creates traceability for finance, operations and future support.

It also makes later updates safer: if a field mapping is questioned months after go-live, the team can see exactly how the original value was transformed.

A practical pre-migration checklist

  • Migration scope and history policy approved
  • Business owner assigned to every dataset
  • Duplicates identified and resolved
  • Inactive or obsolete records reviewed
  • Codes and naming conventions standardized
  • Odoo field mapping documented
  • External ID strategy agreed
  • Import dependency order defined
  • Representative test imports completed
  • AR, AP, inventory and finance reconciliations designed
  • UAE legal/tax master data reviewed where applicable
  • Final cutover and freeze plan approved
  • Migration evidence and sign-offs retained

Frequently asked questions

Should we clean data in Odoo after importing it?

Minor corrections are inevitable, but major cleansing should happen before the production import. Fixing duplicates, codes and ownership rules upstream is safer than asking users to repair a new ERP after go-live.

Should we migrate closed invoices and old orders?

Only if there is a clear operational, reporting or compliance reason. Many businesses migrate open transactions and essential reference data while keeping older history available in a controlled archive.

Can we migrate from spreadsheets as well as another ERP?

Yes. The source can be an ERP, accounting application, CRM or spreadsheet set. The important work is mapping, cleansing, relationship handling and reconciliation—not the source format itself.
