WYA+ Engineering Services Odoo ERP Case Study

Client profile: WYA+ Engineering Services, an engineering and BIM-focused business, implementing Odoo 18 with a structured programme covering project management, resource planning, finance, HR and performance, procurement, operations, data migration, testing, training and handover.

The project objective was to replace fragmented operational work with a more controlled ERP foundation, while ensuring that opening data, finance controls, user access and business acceptance were ready before production use.

Business team planning an ERP implementation and user acceptance testing

The Business Challenge

The ERP rollout required coordinated preparation across finance, operations and administration. A successful implementation depended on more than software configuration: the business needed clean opening data, named module owners, documented responsibilities, reconciliation controls and a repeatable process for user testing and handover.

Without those controls, common ERP risks include unresolved data issues reaching production, unclear ownership of business decisions, late changes to scope and users reverting to spreadsheets after go-live.

Implementation Approach

  • Structured project contacts, responsible owners and backup contacts by module.
  • Requirements and process review before configuration.
  • Opening finance and operational data templates with agreed ownership.
  • Module-by-module configuration and validation.
  • Controlled data import and reconciliation against approved sources.
  • Role and access-right review before user creation.
  • User acceptance testing based on real operating scenarios.
  • Role-based training, cutover preparation and documented handover.
  • A defined post-go-live support and stabilization period.

ERP workstreams covered

WYA+ Engineering Services uses Odoo 18 as its ERP platform. The following describes project workstreams and management controls; it does not assert independently audited performance outcomes.

Operational scope and management controls
WorkstreamERP workflow scopeManagement focus
Project ManagementProject structure, activities, and related cost and revenue workflows.Progress, project costs and profitability visibility.
Resource PlanningPeople and resource assignments connected with operational plans.Allocation visibility and activity ownership.
Financial ControlFinancial entries, project costs, invoicing and management reporting.Reviewable data, margins and exceptions.
HR & PerformanceEmployee information and approved HR/performance processes.Responsibility, approvals and management visibility.
Procurement & OperationsPurchasing and operational handoffs to projects and finance.Supplier-document and procurement-cost traceability.
Management DecisionsConnected operational and financial reporting across the agreed scope.Consistent information for project, resource and finance reviews.

Features depend on the agreed project scope, Odoo configuration and installed applications. About WYA+ Engineering Services.

Data Migration and Finance Controls

Data readiness was treated as a separate workstream rather than a task left until the end. Structured templates were used for customers, suppliers, chart-of-account mappings, opening balances and other agreed master data so formats and ownership could be validated before production migration.

Finance data was not accepted merely because it imported successfully. Opening balances and key totals had to reconcile to approved source information before cutover. This approach reduced the risk of carrying historical errors into the new ERP and created a clearer audit trail for sign-off.

For a broader migration framework, see Vectra’s Odoo ERP data migration guide.

User Acceptance Testing and Go-Live

UAT was designed around complete business scenarios rather than menu-by-menu checks. Named users tested workflows, access rights, finance outputs and exceptions against an expected result. Issues were logged, classified, corrected and retested before acceptance.

  • Each scenario had a business owner and expected result.
  • Defects were separated from enhancement requests.
  • Critical issues had to be closed before go-live approval.
  • Training focused on the user’s actual responsibilities.
  • The cutover checklist covered data, access, integrations, support contacts and known issues.

This created a clear distinction between “configuration complete”, “UAT accepted” and “production ready”.

Business Value and Handover

The engagement established a more maintainable ERP foundation with clearer process ownership, controlled opening data, stronger traceability of implementation decisions and a structured transition from project delivery into operational support.

The same delivery model can be reused for future phases: define the process owner, document the requirement, configure the solution, validate data, test the real scenario and obtain acceptance before moving the change into production. That reduces uncontrolled scope growth and lowers dependence on informal knowledge held by individual users.
