The Business Challenge

The operating model required more than standard invoicing. The ERP needed to connect property structures with accounting: owners to buildings, buildings to units, tenants to leases, and financial transactions to the correct owner and property. PDCs, deposits, management fees, tenant statements and owner reporting also needed clear controls and auditability. The design also had to support owner-level profit and loss and balance-sheet views, cash-versus-cheque lease structures, owner expenses, receipts and cheque replacement history without breaking the accounting trail.

Solution Scope

  • Owner → building → unit operating model
  • Tenant billing and statements
  • Owner-level accounting and reporting
  • PDC, cheque and replacement tracking
  • Deposits, expenses and management-fee workflows
  • VAT and accounting controls
  • Automated chart-of-account dependencies for new owners
  • Receipts and printable financial documents
  • Detailed UAT across ledgers, reconciliations and reporting

This anonymised map describes control requirements and report outputs for a property-management ERP. No individual feature acceptance or independent audit result is implied.

Revenue recognition and VATValidate service periods, earned and deferred revenue, invoice timing, tax rules and new-owner accounting dependencies.Period-correct financial reporting and VAT review evidence.

Delivery & Quality Controls

The implementation uses end-to-end accounting tests rather than checking screens in isolation. Test scenarios follow transactions from lease setup, rent billing, receipts and PDC movements through bank reconciliation, ledgers, revenue recognition, deferred revenue, VAT treatment, tenant statements and owner-level reporting. Test coverage includes initial transaction creation, revenue recognition, deferred revenue, owner and tenant statements, PDC lifecycle, receipts, bank reconciliation, VAT, ledgers and final reporting. This approach helps ensure that configuration changes remain consistent through the full accounting chain.

UAT coverage matrix

The scenarios below describe acceptance tests and expected evidence, not a claim that every test has passed. Acceptance depends on documented test results and approved changes.

ERP end-to-end acceptance scenarios
UAT scenarioExpected test evidence
New owner and hierarchyCreate an owner with related building and units; verify selection, accounting dependencies and ledger mapping.
Occupancy and unit changesChange occupied/vacant status and approved unit grouping; preserve history and related statements.
Rent and commission billingCreate separate rent and commission charges as needed; verify tax, periods and tenant statements.
Cash/cheque lease splitEnter cash and cheque instalment amounts and dates; reconcile total to signed lease.
PDC lifecycle and replacementRegister, deposit, clear, return or replace cheque; retain old-to-new link and prevent duplicate receipt.
Tenant depositsReceive, hold, refund or properly apply deposits; verify liability and tenant account.
Owner expenses and management feesPost approved owner expenses and fees with correct unit allocations and statements.
Cash advance instalmentsIssue and settle cash advances against approved instalments without duplicate posting.
Revenue and deferred revenueValidate earned versus deferred rent and commissions across period boundaries.
VAT reviewTest approved tax treatment for invoices, fee lines and adjustments.
Receipts, ledgers and reconciliationMatch receipts, PDC clearance, banks, transfers, ledgers and owner statements.
Owner reporting packageReconcile owner P&L, balance-sheet balances, PDC schedules, owner/tenant statements and management-company results.

Business Value

The solution is designed to give property managers a single controlled environment for operational and financial information, reduce fragmented spreadsheet processes, strengthen cheque and transaction traceability, and make owner- and property-level reporting easier to produce and review.
